Abstract Submission Guidelines

  • Submission Method: Online submission preferred. Email attachments accepted with complete details (scientific session, oral/poster preference).
  • No Fax or Disk Submissions: Only online or email submissions will be considered.
  • Abstract Length: Maximum 200 words (including footnotes).
  • Language: Abstracts must be written in clear American English.
  • Abstract Structure: Organize your abstract with the following bolded headers:
    • Purpose/Objectives
    • Materials/Methods
    • Results
    • Conclusions
  • No Visuals in Abstract: Illustrations, images, and graphs are not permitted in the abstract. One small table is allowed.
  • Multiple Submissions Allowed: You may submit multiple abstracts.
  • Original Work: Each abstract can only be submitted once. Duplicate submissions will be rejected.
  • No Prior Publication/Presentation: The work should not have been previously published or presented at another conference.
  • Review Process: An internal panel of experts will review all submitted abstracts.

Presentation Time Allotments

  • Keynote Presentations: 20 minutes presentation + 5 minutes discussion.
  • Invited / Oral Presentations: 15 minutes presentation + 5 minutes discussion.
  • Poster Presentations: 12 minutes presentation + 3 minutes discussion.

Payment Information

  • Abstract Submission Fee: No fee is required for abstract submissions.

Meeting Registration

  • Required for Presenters: At least one-day meeting registration is mandatory for all contributed speakers and poster presenters.
  • Invited Speaker Registration: Detailed instructions will be provided in the invitation letter.

Multiple Presentations

  • Maximum Presentations: Each presenter can give a maximum of two oral presentations in different scientific sessions.
  • Poster Presentations: Additional papers (beyond the two oral presentations) must be presented as posters, with a limit of three posters per conference.

Presentation Schedule

  • Schedule Availability: Please check the conference website approximately three months before the meeting for the presentation schedule.

Abstract Review and Selection Process

  • Editorial Rights: The program editors and review committee reserve the right to edit abstracts for clarity, grammar, style, and length.
  • International Review Panel: All submitted abstracts will be reviewed by an international panel of experts.
  • Review Timeline: Reviewers are requested to review abstracts within 3 days of submission.
  • Notification of Status: The conference secretariat will email the abstract status to the submitting author.
  • Abstract Changes: Speakers must email the Program Manager for any changes to the abstract title, program, and timings before October 25, 2025.

Guidelines for Conference Presentations

  • Final Presentation Submission: Send your final presentation to the organizing committee via email by October 25, 2025.
  • Pre-Session Arrival: Arrive at least 30 minutes before your session begins.
  • Operating System: All presentations must run on the Windows operating system.
  • Advance Submission: Submit your presentation to the organizers 30 minutes prior to your session.
  • Backup Copy: Bring a backup copy of your presentation on a labelled USB drive.
  • Special Arrangements: Inform the organizers of any special technical requirements (different operating systems, videos, etc.) before your session.
